Controller Services

Outsourced controller services

A dependable monthly close, a chart of accounts that answers questions, and controls that hold — for private clubs, hospitality operators, associations, and owner-led businesses.

Before strategy, accuracy

Most finance problems are close problems wearing a strategy costume.

Boards and owners rarely ask for a controller. They ask why the numbers are late, why the year-end adjustments were so large, why two reports disagree, or why nobody noticed a vendor being paid twice. Every one of those is controller work.

Outsourced controller services put an experienced accountant over your close without adding a salaried hire. The bookkeeping can stay where it is. What changes is that someone senior owns whether the output is right.

It is also the natural entry point for organizations not yet ready for full CFO scope — and the scope expands as the questions get bigger.

What we own

The close, the controls, and the credibility of your reporting.

Monthly close management

A defined close calendar with owners and deadlines, accruals and prepaids handled properly, and financials issued on a date you can plan around rather than wait for.

Chart of accounts and departmental structure

A structure built around how the business actually earns — by department, outlet, location, or membership category — so the questions leadership asks can be answered from the P&L instead of a special analysis.

Reconciliation and balance sheet discipline

Every material balance sheet account reconciled monthly with supporting schedules. This is where year-end surprises are eliminated before they become audit adjustments.

Internal controls and segregation of duties

Approval thresholds, vendor setup controls, cash handling procedures, and payroll review designed for organizations too small for a full accounting department.

Audit and review readiness

Schedules prepared before the auditors arrive, PBC lists managed, and the year-end process compressed from a scramble into a routine.

Bookkeeping oversight and staff development

We supervise and develop the people you already have where that is the right answer, and we say so when a role genuinely needs to be replaced rather than coached.

Familiar patterns

What a missing controller layer looks like.

Financials arrive whenever they arrive

No published close calendar means no accountability for the date, and decisions get made on stale numbers by default.

Large adjusting entries every year end

If the CPA firm restates significant balances each year, the monthly numbers leadership has been reading were never accurate.

One person touches every part of cash

In small finance teams this is common and it is the single largest fraud exposure most organizations carry.

The controller resigned and nobody backfilled

The close continues on muscle memory for a few months and then quietly degrades. This is the most common reason organizations call us.

Common questions

Questions about controller engagements.

Do you provide outsourced accounting, or only CFO-level work?
Both. Controller-level engagements cover the close, reconciliations, controls, and audit readiness, and can include supervision of your bookkeeping. CFO-level work sits above that. Many clients start at controller scope and add CFO scope later.
Can you cover an open controller position temporarily?
Yes. Interim controller coverage is one of our most requested engagements, particularly in clubs and hospitality where turnover clusters after the season. We can stabilize the close, then help recruit and onboard the permanent hire.
Will you replace our bookkeeper?
Usually not. In most engagements the bookkeeper stays and finally has someone senior reviewing the work. Where a role is genuinely mismatched, we say so directly rather than working around it.
How much do outsourced controller services cost?
Most controller engagements run $2,000 to $5,000 per month depending on transaction volume, number of entities, and the state of the current close. Remediation of a backlog is quoted separately.
