Member Accounts Receivable and F&B Minimums: Getting Club Billing Right

November 20262 min read

Member billing is where club finance and member experience meet. A wrong statement is a member complaint, a late statement delays cash, and an AR ledger that doesn't tie to the general ledger is an audit finding waiting to happen. Getting the member receivable process right protects cash and goodwill at the same time.

Tie the subledger every month

The member AR subledger total should equal the AR control account in the GL at every month-end, with any difference identified and cleared. Clubs that only tie out at year-end usually find a backlog of unapplied payments, duplicate charges and misposted credits.

Account for minimums deliberately

F&B minimums need a written policy covering what counts toward the minimum, the measurement period, how the shortfall is billed, and how it is recorded. Shortfall charges are typically recognized as revenue when billed, and some clubs track them separately so the board can see actual F&B spending apart from minimum billings. That distinction matters when evaluating the true F&B subsidy.

A collections policy the board approves

  • Statement date, due date and late fee in writing.
  • Charging privileges suspended at a defined aging, applied consistently.
  • Board or committee involvement at a defined threshold, with member privacy respected.
  • Allowance for doubtful accounts reviewed quarterly.

Metrics worth reporting

AR aging by bucket, days sales outstanding on member charges, minimum shortfall billings by period, and the count of accounts past the suspension threshold.

Common questions

How should a club record F&B minimum shortfalls?
Bill per policy and record consistently; many clubs track shortfall revenue separately from actual F&B sales.
What is a healthy member AR aging?
The large majority of balances should be current, with very few accounts beyond 60 days.
