Hospitality Accounting Cleanup: How to Fix Books That Are Behind, Broken, or Both

November 20262 min read

Books fall behind for ordinary reasons: a controller leaves, a system conversion goes sideways, a bookkeeper was doing their best with a job that outgrew them. The longer it goes, the harder it is to fix, because every month that closes on a bad balance sheet carries the errors forward. An accounting cleanup gets the books back to a point where everyone can trust them, and documents the process so they stay that way.

Signs you need a cleanup

  • Bank and credit card accounts haven't been reconciled for months.
  • Balance sheet accounts carry old items nobody can explain.
  • Member, guest or AR ledgers don't tie to the general ledger.
  • The auditor issued a long management letter, or couldn't finish fieldwork.
  • Payroll liabilities, sales tax or deposits look wrong.
  • Leadership has stopped using the financial statements to make decisions.

How a cleanup runs

1. Diagnose. Review the trial balance, reconciliation status, open items and the close process as it actually runs. Agree on a cutoff date and a target finish date.

2. Rebuild the balance sheet. Reconcile every account, clear or document stale items, correct misposted entries, and true up subledgers to the GL.

3. Catch up the months. Close each missing period in order, with reconciliations and a review.

4. Document. Write the month-end checklist, reconciliation templates, and account policies so the next person can run them.

5. Hand off. Train the in-house team or transition to ongoing monthly close review.

How long it takes

A few months behind with clean underlying data can be fixed in weeks. A year or more of unreconciled accounts, a system conversion, or missing records can take several months. The diagnostic gives you a firm estimate before any rebuild work starts.
